You can import assets into any form in bulk using a CSV file instead of adding them individually. This article covers the general import process that applies to all form types.
For CSV column requirements specific to each form type, refer to the CSV Column Reference by Form Type article.
Before You Begin
- FormLink requires a CSV file for importing asset information. CSV files can be created with any spreadsheet application, including Excel.
- The required column headers are automatically included when you export the CSV from the form. Column headers must remain in the same position and order as in the exported file. Repositioning columns will prevent the file from being imported successfully.
- You can add asset information row by row, or paste information into columns. Rows can also be reordered before saving.
Import Steps
Step 1. Export the CSV file for the form to your computer. The exported file will include all required and optional column headers for that form type.
Step 2. Enter the new asset information in the CSV file. You can enter data manually or paste it from an existing spreadsheet — as long as the required column headers remain in the correct order.
📌 Note: If the form currently has no assets, the exported CSV will contain only the column headers with empty rows. This is expected.
Step 3. Save the completed file as a CSV.
Step 4. From the Import/Export Assets page, select Choose File and select the saved CSV file.
Step 5. If you want to replace all existing asset information on the form with the new data, select Replace All Existing Items before importing.
⚠️ Warning: Selecting Replace All Existing Items will permanently overwrite and delete all existing assets on the form.
Step 6. The Import CSV table is displayed with the newly added assets on the Import/Export Assets screen.
📌 Note: Yellow highlighted cells indicate empty non-required fields that can optionally be filled in. Red highlighted cells indicate errors — you must correct the CSV file and re-import to resolve them. Refer to What are the Error Messages on the Import/Export Assets Screen? for details.
Step 7. From the Location Summary page, select the form to confirm the new assets have been added successfully.
