Email Profiles
Overview
Email profiles allow you to control who receives report submissions for a given location. Instead of reports always going to the contract-named contact, you can create custom profiles that route reports to any recipient you choose — or restrict delivery to specific report types (e.g., fire alarms only).
Note: If you do not see Email Profiles on your Configurations page, please contact support.
Creating an Email Profile
Step 1. Navigate to Configurations → Email Profiles.
Step 2. Click New (located to the right of the dropdown list).
Step 3. Enter a name for the profile (required).
Step 4. In the form type boxes, enter the email address(es) of the recipient(s) you want to receive reports.
- To have a recipient receive all report types, copy their email address into every form type box.
- To limit delivery to specific report types (e.g., fire alarms only), enter the email address only in the relevant box(es)
Step 5. Click Save.
Once saved, the profile will immediately appear in the customer-specific list and is ready to be linked to a location.
Linking an Email Profile to a Location
Step 1. Navigate to the relevant Location.
Step 2. Click Edit.
Step 3. Select the email profile you want to apply from the Email Profile dropdown.
Step 4. Click Save.
From this point forward, anyone listed in the profile will receive a copy of the applicable report(s) upon submission — but only for reports generated at that location. The profile will not affect any reports submitted before it was set.
Editing an Email Profile
Step 1. Navigate to Configurations → Email Profiles.
Step 2. Select the profile you want to modify from the dropdown list.
Step 3. Click Edit.
Step 4. Make the necessary changes.
Step 5. Click Save.
Deleting an Email Profile
Step 1. Navigate to Configurations → Email Profiles.
Step 2. Select the profile you want to remove from the dropdown list.
Step 3. Click Delete.
Key Things to Know
- A new email profile only affects reports generated after it has been linked to a location — it is not retroactive.
- Each location has its own profile assignment, so reports are only sent to the profile recipients for the location where the report was generated.
- A single recipient can be added to multiple profiles or multiple form type boxes within the same profile.
- If Email Profiles does not appear in your Configurations menu, reach out to support to have it enabled.
