The Define Zone Maps feature allows you to create a Zone Map using your floor plans and symbols to represent the different types of assets and their locations. When an inspection form is submitted, the corresponding report is broken down by zone and location. Combined with color coding for test results, this makes it easy to identify where a specific asset is located if it needs to be retested or repaired.
You can also use Zones to group assets for a specific area of a building. For example, all devices in a Break Room could be grouped into a zone named Break Room. The completed Zone Map will also appear on the inspection report for easy reference during review.
Setting up a Zone Map involves two stages:
- Importing a Floor Plan
- Mapping the Assets
📌 Note: All assets must be added to FormLink before they can be mapped to a Zone Map.

Part 1: Import a Floor Plan
Step 1. From your Admin Home page, navigate to the desired Location.
Step 2. Select Define Zone Maps.
Step 3. The Assemblies to Map section is displayed. Select the Assembly you want to map.
Step 4. The Zone Map section of the page is displayed.
Step 5. Select Select Floor Plan Image at the top of the image display area.
Step 6. Select your floor plan image file and upload it using the file chooser window.
📌 Note: Only image files with a .png or .jpeg extension are supported. If an unsupported file type is selected, a system message will be displayed. Select Close and choose a different file.
💡 Detailed, high-resolution floor plan images will provide the most precise asset placement on the map.
Step 7. The floor plan image is uploaded and displayed on the Zone Map page.
Step 8. Select Save. When the Save Successful message appears, select OK.
Part 2: Map the Assets
Step 1. From the Location Summary page, select Define Zone Maps.
Step 2. Select the Assembly you want to map.
Step 3. From the Zone field, select the zone to be mapped. The assets for the selected zone are displayed.
Step 4. The following fields are available on the Define Zone Map page:

| Select an Assembly to Map | Select the assembly you want to map using the drop-down list. All available assets in that assembly will be available for selection when adding assets to the map. |
| Zone | Use the Zone field to select the zone to be mapped. |
| Map # | Enter a map number for the specific asset. The Map # is used to identify and locate an asset on the Zone Map and can be sorted. |
| Position | Select a number between 1 and 12 to determine where the Map # appears relative to the asset symbol. The position corresponds to a clock face — for example, Position 6 places the number at the bottom of the symbol. The default is 3. |
| Type | Use the Type field to sort assets by Asset Type. |
| Location | Use the Location field to sort assets by their location on the Zone Map (e.g., by room number). |
| Mapped | Indicates whether the asset has been mapped to the floor plan. This field can be sorted. |
| Select Floor Plan Image | Select this to import a floor plan into the Zone Map. Files must be in JPEG or PNG format. |
| Delete | Removes an asset from the Zone Map. Note: this does not delete the asset from the asset list. |
💡 All columns in the asset list can be sorted using the ascending and descending arrows. The following fields can be used to sort the list:
- Zone
- Map #
- Map Position #
- Asset Type
- Mapped (Yes/No)
Sort by Type or Location to quickly find the assets you need.
Step 5. Select an asset row to add it to the map. You can select anywhere in the row to select it.
📌 Note: When a row is selected, its symbol is highlighted on the floor plan and the Mapped field for that asset changes to Yes.
Step 6. The asset symbol is added to the floor plan. Select and drag the symbol to the correct location on the floor plan.
Step 7. Enter a number for the asset in the Map # field. The number will appear on the asset symbol on the floor plan.
Step 8. Using the Position field, select where the number should appear relative to the symbol.
📌 Note: The Position field works like a clock face — for example, Position 6 places the number at the 6 o'clock position relative to the symbol. The default position is 3.
Step 9. Once mapped, the asset row will no longer appear in red and will display the mapped asset details.
Step 10. Repeat Steps 5–9 for each additional asset you want to add to the Zone Map.
Step 11. Once all assets have been mapped, select Save. When the Save Successful message appears, select OK.
Searching for Assets by Zone
Once zones are set up, you can use the Zone field on the Search/Filter Bar to quickly locate assets by the zone they are assigned to. Select a zone from the Zone drop-down list to filter the assets list to that zone.
